• Geolocation data (when you grant permission) to show nearby blood drives, plasma centers, mobile drives, events, and reward partners on the map

c. Pass scanning & event check-in data:

• When your pass is scanned by Music Saves Lives staff or a partner scanner at an event, we record the scan time, location, and the reward or perk redeemed.
• This data is used to verify redemption and prevent duplicate or fraudulent claims.

3. How We Use Your Information

We use the information we collect to:

• Create and manage your account and participation records
• Award points, rewards, VIP incentives, and EXPERIENCE vouchers for verified donations and quiz completions
• Process donations and recurring subscription payments
• Track and verify staff volunteer hours, event assignments, and payments
• Send transactional emails (account confirmations, reward notifications, approval emails, VIP voucher delivery)
• Send promotional communications about events and causes (you may opt out at any time)
• Display localized events, causes, and drive locations based on your region and geolocation
• Generate and maintain leaderboards and point totals
• Improve our platform and user experience through analytics
• Comply with legal obligations and nonprofit record-keeping requirements

4. Sharing Your Information

We do not sell your personal information. We may share your information with:

• Service providers who assist us in operating the platform (e.g., cloud hosting, email delivery, analytics, payment processing) — bound by confidentiality agreements.
• Partner organizations & foundations (e.g., blood banks, event venues, partner foundations) only when you have explicitly consented to share your data through the data sharing consent feature, and only to the extent necessary to fulfill your requested participation.
• Reward partners who fulfill redeemed rewards (e.g., merchandise, gift cards) — only the information needed to fulfill the reward.
• Law enforcement or regulators when required by applicable law or to protect the rights and safety of our users or the public.
• Successors in the event of a merger, acquisition, or nonprofit restructuring.

You can review or manage your data sharing consents at any time from your profile or dashboard.

5. Cookies & Tracking Technologies

We use cookies and similar technologies to keep you logged in, remember your language and display preferences, and understand how the Service is used. You can control cookies through your browser settings; however, disabling cookies may affect the functionality of the Service.

6. Donations & Payment Processing

When you make a donation or payment through the Service, your payment information (e.g., credit card number) is processed securely by our third-party payment processor, Stripe. We do not store your full card number on our servers. We retain only the transaction record (amount, date, campaign, and donor email) for accounting and nonprofit record-keeping purposes.

If you set up a recurring donation subscription, you may manage or cancel it at any time from your account or by contacting us. Refunds for donations are handled at our discretion in accordance with applicable law.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time by contacting us at support@musicsaveslives.org or through your profile settings. Some data may be retained longer where required by law, for legitimate nonprofit record-keeping, or to prevent fraud.

We implement industry-standard security measures including encrypted data transmission (HTTPS), access controls, role-based permissions, and secure cloud infrastructure to protect your personal information. Access to sensitive data is restricted to authorized staff based on their role. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
